POSITION SUMMARY:

The Branch Administrator role reports directly to the local Branch Manager and collaborates with the Area Controller of Aspen Grove. This position is responsible for coordinating and executing administrative functions within the assigned branch(es), including accounts receivable invoicing, accounts payable processing, payroll support, sales assistance and reporting, HR onboarding compliance, and general office administrative tasks as required. This role necessitates professional and efficient interaction with both external customers and internal personnel.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES:

  • Review and verify all purchase orders, statements, and invoices to prepare payments.
  • Submit documentation for the establishment of new vendors as necessary.
  • Ensure all invoices are submitted to Accounts Payable with appropriate GL coding for payment processing.
  • Oversee accounts receivable and collections.
  • Review billing practices to ensure accuracy of invoices.
  • Export timesheets from the system and submit them for processing.
  • Process payroll for non-field personnel.
  • Conduct payroll adjustments and investigate payroll issues.
  • Provide operational reports to management as required.
  • Support human resources functions, including onboarding, compensation, garnishments, workers' compensation claims, and maintenance of employee records.
  • Manage office inventory.
  • Answer office phone calls and assist or redirect as necessary.
  • Perform other tasks as assigned.

EDUCATION & EXPERIENCE QUALIFICATIONS:

  • High School diploma required; an Associate or Bachelor's degree is preferred.
  • 5+ years of branch administrative experience in the landscaping industry or a related field.
  • Experience with the Aspire Landscape Operating System is preferred.

SKILLS & ABILITIES QUALIFICATIONS:

  • Formal training and experience in office procedures and the use of office equipment.
  • Excellent data entry skills and proficiency in Microsoft Word, Excel, and PowerPoint.
  • Self-motivated with a professional demeanor.
  • Ability to communicate clearly and accurately, both verbally and in writing.
  • Superior organizational skills with a strong focus on detail and accuracy.
  • Excellent problem-solving skills and critical thinking abilities.
  • Proven confidentiality and high ethical standards.
  • Strong initiative, with the ability to remain focused and proactive while working independently.
  • Customer service-oriented with strong interpersonal skills.
  • Experience with Aspire business software is a plus.
  • Must be able to work a full schedule at the branch office location.
