Job Overview

Position Summary

We are seeking a dedicated individual to serve as a vital support resource for our Business Management team. This role is essential in managing project deliverables for multiple clients while ensuring internal financial operations run smoothly. You will report directly to the Senior Manager of Business Management.

Key Responsibilities:
  • Manage the team calendar, ensuring all internal and client deadlines are met.
  • Provide regular updates on the status of ongoing tasks to the team.
  • Prepare and maintain accurate documentation and correspondence.
  • Draft and revise billing calendars as needed.
  • Organize and oversee financial deliverables.
  • Facilitate the routing of materials for internal approvals.
  • Collect and analyze necessary data.
  • Disseminate updates, notes, and reminders to the team.
Additional Duties:
  • Conduct weekly time transfers.
  • Process job code requests.
  • Update staffing data in the Unified Staff Plan (USP) on a weekly basis.
  • Maintain the Mini-Mastersheet on a daily basis.
  • Generate monthly billable reports for all clients.
  • Verify invoice accuracy on a monthly basis.
  • Communicate effectively with the finance department.
  • Assist in developing Statement of Work (SOW) templates for managerial use.
  • Compile various financial reports for team and client review.
  • Coordinate meeting follow-ups.
  • Handle ad hoc reporting and administrative tasks.
  • Organize files on both internal and client shared platforms.
  • Support the Manager in various tasks.
  • Escalate issues as necessary to the Manager.
  • Contribute to assigned projects.
Qualifications:
  • Familiarity with project management principles.
  • Basic understanding of bookkeeping and financial concepts.
  • Able to identify various fund types within the agency, including revenue and expenses.
  • Knowledge of internal processes for job code initiation.
  • Understanding of media processes and client financial obligations.
  • Proficient in Excel, including advanced functions such as Pivot Tables and VLOOKUP.
