Key Responsibilities:

  • Answer, screen, and direct calls while providing information, taking messages, and scheduling appointments.
  • Utilize scripts effectively during phone and in-person interactions.
  • Scan and upload documents such as referrals and patient paperwork into the electronic system.
  • Manage incoming mail, messages, and deliveries.
  • Check in patients and maintain accurate sign-in records.
  • Input patient information into the computer system.
  • Identify patients requiring annual medical history updates.
  • Indicate when patients are ready to be seen by updating appointment statuses.
  • Confirm appointments for the following day and three days in advance.
  • Prepare route slips for upcoming appointments.
  • Communicate any schedule changes and walk-ins to the team as needed.
  • Maintain a professional, pleasant, and cooperative demeanor at all times.
  • Adhere to a consistent and punctual attendance schedule.
  • Effectively manage multiple tasks and deadlines.
  • Perform additional duties as assigned.

Qualifications:

  • High School Diploma or equivalent.
  • Preferred: One year of office experience.

Work Environment:

  • Primarily sitting (80%) with some standing/walking (20%).
  • Medical, office, and laboratory settings.
  • Ability to hear and communicate effectively via telephone and in person.
  • Near vision required for detailed work with business software and office equipment.
