We are currently in search of a qualified individual to take on the role of Front Office Coordinator for our practice.

ROLE SUMMARY:

The Front Office Coordinator is tasked with overseeing and directing front office operations and responsibilities at their designated location. This role ensures that the front office runs smoothly and that all patients receive the attention they deserve. The Coordinator supervises a team of medical personnel who assist patients, clients, and visitors. They are responsible for maintaining accurate records of incoming patients and providing outstanding customer service. The Front Office Coordinator will also train new employees and serve as a mentor on best practices for interacting with patients and prospective clients.

Additionally, the Coordinator will assist with administrative duties, including processing documentation, reviewing forms for accuracy, and performing various clerical tasks as necessary. They will help manage scheduling and appointment-related activities and order office supplies as needed. The Front Office Coordinator will facilitate appointment bookings as directed by healthcare providers and assist with necessary paperwork. Throughout all responsibilities, the Coordinator must adhere to strict patient confidentiality protocols and maintain a welcoming and professional environment. They are also responsible for ensuring that the front office area is organized and free from hazards, ensuring that all team members contribute to maintaining cleanliness.

In fulfilling these duties, the Coordinator will work their scheduled shifts alongside other front office staff and undertake any additional responsibilities as assigned.

KEY RESPONSIBILITIES:

  • Ensure compliance with departmental policies and procedures, particularly regarding patient confidentiality.
  • Oversee daily front office operations, managing workflow and ensuring efficient patient processing.
  • Address complex patient inquiries and resolve complaints, providing clarity on policies.
  • Ensure that services meet professional standards and comply with state and federal regulations.

REQUIRED QUALIFICATIONS:

  • High School diploma or equivalent; Medical Receptionist Certification is advantageous.
  • Outstanding verbal communication and customer service abilities.
  • Consistent and reliable attendance is crucial for this role.
  • Basic computer skills with a working knowledge of relevant software.
  • Proven ability to organize, coordinate, prioritize, and manage multiple ongoing tasks.
  • Capability to work independently as well as collaboratively within a team.
  • Professional demeanor and appearance.
  • Positive and proactive attitude.
