Client Onboarding Specialist

We seek an energetic, skilled, adaptable, and reliable Client Onboarding Specialist to help elevate and grow our team. You will join an experienced team of professionals in a position that bridges client management and financial operations. This is a customer-facing, fast-paced position and one that facilitates communication between the sales and finance teams and our customers. You will be working with several different brands and franchisees to help jump start their new restaurant openings, remodels, or stagings. The position reports through finance but will have daily interactions and weekly meetings with the sales, project management, and other teams within our organization. This is a full-time position that can be remote, hybrid, or based at our McDonough, GA office. Preference given to local candidates able to meet onsite for collaboration as needed.

Key Responsibilities:

Client Onboarding & Support:


• Facilitate the end-to-end onboarding process for new clients by tracking and following up consistently to ensure a timely rollout of projects.


• Gather necessary client information and documentation.


• Coordinate with internal departments to ensure smooth integration of new clients ensuring they have all information and documentation needed.

Contract Management:


• Create, review, and approve Statements of Work (SOWs) in collaboration with relevant stakeholders before sending electronic signatures via DocuSign.


• Draft, update, and maintain client agreements and contracts.


• Ensure all client agreements are accurately documented and stored in the appropriate repositories.


• Monitor contract renewals and expirations, initiating necessary actions in a timely manner.

Finance Coordination:


• Create and update agreements in the financial system for invoicing purposes.


• Collect and manage customer ACH agreements for recurring billing.


• Calculate total cost of SOWs for insurance approval or pre-payment


• Initiate and follow up on client credit reviews and insurance coverage requests.


• Coordinate with the finance team to ensure accurate and timely billing.

Documentation Management:


• Maintain and organize a repository of valid client documents.


• Ensure compliance with company policies and legal requirements for document retention.


• Provide regular reports and updates on document status and contract compliance.

Requirements and Qualifications:


• BS degree in business or finance preferred.


• Successful work experience as a contract specialist, account management, or similar position for at least 2 years.


• Experience in a sales or legal environment a plus but not required.


• Exceptional communication and presentation skills.


• Proven contract experience, and ability to manage multiple projects simultaneously.


• Self-motivated, organized, and accountable.


• Strong initiative and proactivity, someone who goes the "extra mile."


• Solid understanding and working knowledge of MS Office Suite, Smartsheet, and ConnectWise experience a plus.
