The Patient Services Coordinator plays a crucial role in delivering outstanding customer service, whether via telephone or face-to-face interactions. This position is responsible for guiding patients through the intake and checkout procedures while managing various administrative duties such as answering calls, welcoming patients and visitors, and organizing appointment schedules efficiently and professionally.

Key Responsibilities

  • Greet and assist all patients and visitors, both in person and over the phone.
  • Maintain a clean and organized front desk environment.
  • Register new patients and update existing patient information by gathering comprehensive personal and financial details.
  • Collect outstanding balances from patients.
  • Obtain necessary referrals and authorizations as required.
  • Scan and upload incoming documents, consents, and reports into patient records.
  • Prepare daily batch transmittal reports.
  • Facilitate patient flow by notifying medical staff of patient arrivals and managing delays.
  • Schedule follow-up appointments and additional services for patients.
  • Respond to inquiries from patients and visitors with professionalism and courtesy.
  • Ensure adequate stock of medical office supplies by anticipating needs and placing orders.
  • Safeguard patient confidentiality by securing protected health information (PHI).
  • Ensure a smooth transition of responsibilities upon task completion.
  • Adhere to established attendance standards and maintain punctuality for scheduled shifts.
  • Demonstrate respect for the organization’s commitment to cultural diversity through actions and communication.
  • Utilize time and resources effectively.
  • Ensure accuracy and completeness of all medical records.
  • Perform additional duties related to the position as assigned.
