This role offers the flexibility of up to four days of remote work each week.

About the Office

The Office of General Counsel (OGC) serves as the in-house legal advisor to the State Bar, delivering a comprehensive suite of services. This includes representation in state and federal courts, advocacy in Bar discipline and admission cases, and providing legal counsel to the State Bar Board of Trustees and various State Bar entities.

OGC's legal expertise encompasses a variety of areas, including admissions and discipline, antitrust, the Bagley-Keene Open Meeting Act, bankruptcy, the California Public Records Act, collections, contracts, copyright, governance, labor and employment, legislation, regulations, real estate, regulatory matters, and general corporate issues.

Ideal Candidate Profile

The ideal candidate will possess a robust background in litigation, demonstrating qualities of organization, reliability, accuracy, and proactivity. The primary responsibilities will include assisting in-house counsel with court filings, managing case files, and supporting litigation and advisory tasks. Proficiency in preparing tables of authorities, finalizing documents for filing, and analyzing court rules to calculate deadlines is essential. Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint) is required, and experience with ProLaw or similar case management systems is preferred. The ability to thrive in a fast-paced environment, manage multiple deadlines, and learn various aspects of the State Bar is crucial.

Role Definition

Under supervision, the Legal Secretary II provides vital support to legal professionals, supervisors, and judicial staff by executing highly confidential administrative tasks. This role also involves coordinating special projects and performing analysis, editing, evaluation, report preparation, and other assigned duties.

In contrast, the Legal Secretary III offers advanced secretarial, technical, and managerial support, fulfilling the responsibilities of the office or legal staff. This position may also include formal leadership duties over legal support staff.

Key Responsibilities

Responsibilities may include, but are not limited to:
  • Providing comprehensive legal secretarial support, including drafting legal briefs, motions, and memoranda.
  • Formatting, editing, and assembling documents for filing in state, federal, or State Bar courts.
  • Preparing legal pleadings for court submission, ensuring accuracy and compliance with local court rules.
  • Checking legal citations and overseeing the production and distribution of legal documents.
  • Proofreading and assembling various legal documents, including pleadings, contracts, and legal memoranda.
  • Training new hires in legal secretarial practices.
  • Conducting legislative research and analyzing internal data and policies.
  • Assisting in the preparation of materials for meetings, including notices, agendas, and minutes.
  • Managing secretarial tasks such as calendaring court appearances and maintaining legal files.
  • Performing additional related duties as required, including paralegal and office support tasks.

Minimum Qualifications

Legal Secretary II:
  • High school diploma or equivalent.
  • Two years of post-secondary education.
  • Three years of relevant legal secretarial experience.
Legal Secretary III:
  • Associate degree or two years of post-secondary education.
  • Six years of legal secretarial experience.
