API Legal Outreach stands as the foremost social justice legal organization dedicated to serving the Asian/Pacific Islander, Latinx, and immigrant populations within the Greater Bay Area and the Central Valley.

Established in 1975, our mission is to deliver culturally sensitive and linguistically appropriate direct services to the most vulnerable segments of our community, including low-income women, seniors, immigrants, and youth.

With operational bases in Oakland and San Francisco, our initiatives encompass various critical areas such as Gender-based Violence, Immigration and Immigrant Rights, Disability Rights, Senior Law and Elder Abuse, Anti-Human Trafficking, Youth Violence Prevention, Anti-API Hate Violence, preservation of affordable housing, and support for small businesses, alongside other pressing social justice matters.

Position Overview


Reporting directly to the Deputy Director, the Administrative Operations Supervisor plays a pivotal role in overseeing our facilities, IT infrastructure, and general administrative functions, while also providing support for human resources and knowledge management.

This position is primarily located in San Francisco but also entails responsibilities for our East Bay office. A strong commitment to social justice is essential for this role.

Engagement with a diverse range of stakeholders and representing the organization in various settings are fundamental aspects of this position.

The ideal candidate will be passionate about serving underserved Asian and Pacific Islander communities as well as BIPOC populations in the Greater Bay Area.

Key Responsibilities

Facility Management (30%)

Ensuring the safety and security of individuals and premises during designated hours and responding to any after-hours security incidents.

Facilitating optimal working conditions by assisting with the maintenance and upkeep of office facilities and equipment, while coordinating with contractors and service providers for building-related needs.

Leading facility-related projects from the planning phase through to implementation.

General Administration (30%)

Managing equipment inventory, maintaining office supplies, and performing essential administrative tasks such as data entry and file maintenance.

Supervising Administrative Assistants and overseeing direct services provided to clients.

Assisting with basic human resources functions as necessary, including but not limited to coordinating onboarding processes and supporting recruitment activities.

IT Support (20%)

Providing IT assistance for the office and across various departments, troubleshooting basic issues, and coordinating with IT services as required.

Safety and Emergency Preparedness (10%)

Overseeing emergency disaster drills and developing and updating safety policies, procedures, and training.

Community Engagement and Support (10%)

Contributing to administrative and fundraising initiatives aimed at supporting underserved Asian and Pacific Islander communities and BIPOC populations.

Minimum Qualifications
  • At least 2 years of experience in an office administrative capacity.
  • Demonstrated experience in coordinating with contractors and service providers for building-related needs.
  • Ability to perform general administrative tasks such as managing equipment inventory, maintaining office supplies, and conducting data entry and file maintenance.
  • Proficient knowledge of various software applications and their implementation.
  • Excellent communication skills with the ability to effectively interact with a diverse range of stakeholders.
  • Demonstrated commitment to social justice.
Preferred Qualifications
  • Bachelor's degree in Business Administration, Management, or a related field.
  • Experience in a role focused on facilities management.
  • Experience within a non-profit or community service context.
  • Experience in conducting and overseeing emergency disaster drills, as well as developing and updating safety policies, procedures, and training.
  • Demonstrated commitment to serving underserved communities, particularly Asian and Pacific Islander communities and BIPOC populations.
  • Willingness to travel between offices as required.
