Job Overview

Salary: $20 - $25 Hourly DOE

We are seeking an Office Coordinator to manage the reception area and provide exceptional service to our clients and visitors. This role involves directing clients to various departments, communicating with staff regarding visitor arrivals, managing phone calls, and handling mail distribution.

To excel in this position, you should possess strong communication skills and be proficient in Microsoft Office applications, including Word and Excel. Previous experience in a receptionist role is advantageous.

Key Responsibilities:
  • Welcome clients and visitors with a friendly and professional demeanor.
  • Guide clients through the office layout.
  • Announce visitors as required.
  • Support workplace security by managing visitor badges and maintaining logs.
  • Assist with various administrative tasks such as copying, faxing, note-taking, and travel arrangements.
  • Prepare meeting and training spaces.
  • Handle phone calls professionally and direct them appropriately.
  • Provide support to colleagues with administrative duties.
  • Perform miscellaneous administrative tasks as needed.
  • Screen, forward, and manage incoming calls.
  • Sort and distribute incoming mail.
  • Deliver outstanding customer service.
  • Manage appointment scheduling.
Qualifications:
  • Diploma, Associate's, or Bachelor's degree in a relevant field.
  • Previous experience in a receptionist or similar role.
  • Consistent professional appearance and conduct.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Strong time management skills.
  • Familiarity with administrative and clerical processes.
  • Able to work collaboratively as part of a team, assisting with various tasks as needed.
