Corporate Travel Coordinator and Office Administrator

Contract Role (3 months) Monday-Thursday 9am-2pm Monday: Remote

We are in search of a Corporate Travel Coordinator and Office Administrator to oversee the travel and expense communication channels, address security concerns, facilitate problem resolution, manage Concur profiles, coordinate office supplies, and handle visitor reception and mail services. The ideal candidate will demonstrate excellent communication, organizational, and customer service abilities, be adept in Microsoft Office, and efficiently manage multiple responsibilities while nurturing relationships with various stakeholders.

Key Responsibilities:

Assist in managing the Travel & Expense communication channel, addressing policy inquiries and card-related questions. Address security matters (e.g., fraud, lost/stolen cards, compromised accounts). Serve as a liaison to ensure effective problem resolution. Triage concerns from program managers and leadership. Oversee inquiries and processes related to card applications, expectations, and delivery information. Facilitate card issuance and closure, including expedited delivery requests. Support card maintenance tasks (e.g., account edits, profile updates). Manage account controls (e.g., overrides, temporary limit adjustments). Act as a resource for regional inquiries regarding Concur. Generate ad hoc reports from Concur as needed. Provide occasional support to employees with issues related to the Corporate Travel site. Manage Concur profiles for the Americas (setup, termination, updates). Oversee visitor reception and coordinate their needs, including rearranging meeting spaces. Plan and coordinate office events. Collaborate with the IT department to ensure all office equipment is functioning properly. Manage courier, mail, and messenger operations. Control and order office supplies, including refreshments. Maintain inventory control and anticipate reordering needs. Build and maintain relationships with building administration.

Required Qualifications:

1-3 years of experience in office management, corporate travel, or expense management roles (preferred but not mandatory). Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with Concur Travel and Expense Management software. Knowledge of corporate travel management tools and platforms. Exceptional verbal and written communication skills. Strong interpersonal skills with the ability to facilitate problem resolution. Capacity to handle sensitive and confidential information with discretion. Excellent organizational skills with the ability to prioritize multiple tasks. Keen attention to detail. Strong customer service orientation with adaptability to changing priorities.
