At Holman Enterprises, we are currently seeking a detail-oriented and customer-centric Administrative Assistant to contribute to our operational excellence.
Key Responsibilities:
- Respond to all incoming calls with professionalism and courtesy, utilizing knowledge of dealership departments to direct calls effectively and minimize wait times. Ensure accurate message-taking and documentation.
- Maintain the cleanliness and visual appeal of the showroom, including the entrance, reception, and lounge areas. Keep the environment organized and ensure all amenities are well-stocked and presented attractively.
- Promptly inform management of any damages or issues observed within the showroom to facilitate timely resolutions and uphold a pristine environment for visitors.
- Adhere to the dealership's dress code and address customers as "guests," using formal titles whenever possible. Demonstrate professionalism in demeanor, language, and interactions with both customers and colleagues.
- Encourage a professional atmosphere around the receptionist area by politely reminding colleagues to avoid congregating or engaging in disruptive behavior nearby.
- Utilize strong interpersonal skills to address customer concerns swiftly and effectively, minimizing the escalation of complaints to higher management levels whenever possible.
- Provide support to various departments as needed, including accurate document scanning for the service department, covering phone calls, and ensuring timely completion of paperwork with precision.
- Exhibit excellent verbal and written communication skills when interacting with customers and colleagues, fostering positive relationships and efficient collaboration throughout the organization.
- Perform additional duties and special projects as assigned.
- High School Diploma or equivalent.
- Additional education, certifications, or experience are advantageous.
- Proficient in various desktop tools, including MS Office Programs (e.g., Outlook, Excel, Word, PowerPoint, Project, Visio, SharePoint, etc.).
- Familiarity with office technology and equipment, including computers, fax machines, scanners, printers, and phone systems.
- 1-3 years of experience in administrative services or related fields. Prior experience in an administrative role, preferably in a customer-facing environment, is preferred but not mandatory.
