Job Overview

Position Title: Office Coordinator

Role Summary: The Office Coordinator is tasked with delivering extensive administrative assistance to the General Manager and departmental leaders. Responsibilities encompass managing phone communications, preparing documentation, coordinating office supplies, maintaining records, and supervising office functions. This position also includes developing newsletters, managing proposals, and ensuring effective communication within the organization.

Key Responsibilities include the following:

Administrative Duties:

· Manage incoming calls, take messages, and respond to routine inquiries in a timely and professional manner.

· Assist the General Manager with various organizational and communication tasks.

· Provide thorough administrative support to facilitate the smooth operation of the office, collaborating with all departments and addressing issues as they arise.

· Update and distribute the monthly newsletter and assist the General Manager with other communication and presentation tasks.

Procurement and Record Keeping:

· Complete credit applications, generate purchase orders, and manage uniform orders to streamline procurement activities.

· Keep accurate records of employee certifications, including those for the Certified Elevator Technician program, QEI program, and various state licenses.

Business Operations Assistance:

· Collect information for and prepare bids, contributing to the company's growth initiatives.

· Generate collections reports and engage with clients regarding overdue accounts to ensure timely payments and financial health.

· Oversee the maintenance and repair of office equipment, coordinating with vendors and technicians to promptly resolve any issues and minimize disruptions.

Employee Support and Compliance:

· Assist staff with United Elevator Services benefits and standard operational and employment procedures, promoting a supportive workplace.

General Office Support:

· Provide ongoing assistance to the General Manager and other team members as required, demonstrating flexibility and adaptability to shifting priorities.

· Ensure the front office area is organized and welcoming, managing incoming and outgoing correspondence, maintaining office supplies, and ensuring the workspace is tidy and functional.

· Perform any additional duties as assigned to support the overall success of United Elevator Services.

Supervisory Role:

This position does not include direct supervisory responsibilities.

Qualifications:

Education and Experience:

High school diploma or equivalent.

A minimum of two (2) years of relevant experience in an administrative or customer service role.

Language Proficiency:

Ability to communicate effectively in both oral and written forms with employees, clients, vendors, and management. Strong interpersonal communication skills are essential. Good grammar, voice, and diction are required.

Technical Skills:

Demonstrated experience with PC platforms and proficiency in office software, including email, word processing, and spreadsheets.

Personal Attributes:

Ability to interact effectively with employees, clients, vendors, and management. Strong time management skills, ability to prioritize tasks, and capacity to multitask are essential. Regular and predictable attendance during office hours is expected. Ability to work well with others is crucial.
