About the Role

We are seeking a highly motivated and organized individual to join our team as an Administrative Assistant. This is a fantastic opportunity to work in a dynamic and collaborative environment, supporting the local management team and contributing to the success of our office.

Key Responsibilities
  • Provide administrative support to senior management and other personnel within the office, including coordinating facility maintenance, vendor management, and contract review.
  • Assist with project delivery and execution, including schedule management, budget review, and deliverable tracking.
  • Support the preparation of weekly reports to clients and maintain positive client relationships.
  • Oversee technical document production, provide review of technical documents, and ensure implementation of Health, Safety, Security, and Environment (HSSE) Policies.
  • Coordinate new hire orientation, including ordering equipment, setting up workspace, and providing office tour.
  • Disseminate HR materials, coordinate onsite events, and participate in team-based work.
  • Manage electronic calendars, coordinate office meetings and training sessions, and process expense reports, invoices, and orders.
  • Coordinate travel itineraries and arrangements, and assist with document control, including filing and archiving.
Requirements
  • High school diploma required, college degree preferred.
  • Five years of experience in an administrative assistant role, supervisory experience preferred.
  • Excellent technical writing, organizational, and communication skills.
  • Prior experience working with Project Managers and the A/E field to manage contracts and subcontractors is a plus.
  • Strong multi-tasking skills, ability to prioritize and organize multiple concurrent assignments.
  • Excellent computer skills, including MS Word, Excel, InDesign, and PowerPoint.
  • Ability to understand and follow written and verbal instructions, take initiative, and possess strong organizational, problem-solving, and analytical skills.
