Job Summary

We are looking for a highly organized and detail-oriented individual to join our team as an Administrative Assistant. The successful candidate will be responsible for providing administrative support to our team, including answering calls, handling mail, managing office supplies, and maintaining the office environment.

Key Responsibilities

  • Administrative Support
    • Answer incoming calls and respond to client inquiries
    • Handle and process daily mail, including opening and distributing, scanning and filing as needed
    • Manage and operate office equipment, troubleshoot and resolve issues
  • Office Management
    • Maintain office supply inventories, including office items, postage meter, firm stationery, business cards, and custodian supplies
    • Maintain the professional appearance of office common areas, including supply cabinets, filing cabinets, conference rooms, and kitchen
  • Logistics and Coordination
    • Prepare conference rooms and agendas for client and prospect meetings
    • Coordinate logistics for lunch meetings and client events
  • Communication and Record-Keeping
    • Maintain detailed notes in the CRM and keep accurate records of client communication and correspondence

Requirements and Qualifications

  • 1+ year of experience in a comparable role
  • Proficiency in Microsoft Office (required)
  • Excellent communication skills, in-person and over the phone
  • Able to write legibly and proficiently in the English language
  • Continuously exhibits personal integrity and professional initiative
  • Reliable, follows through on commitments, does not shrink from new challenges
  • Possesses a passion to help new and existing clients
  • Must be organized, detail-oriented, and able to manage and prioritize tasks
