Position Overview

The Customer Support Specialist will handle incoming calls promptly and address caller inquiries in a courteous, helpful, and thorough manner. This role requires maintaining proficiency in the scheduling module of the practice management system to efficiently arrange patient appointments. Additionally, the specialist will be familiar with the Sliding Fee Program and the various health plans accepted by the organization.

Key Responsibilities:

  • Welcomes patients and updates their demographic details in the system, ensuring respectful and courteous treatment of patients and colleagues.
  • Schedules patient appointments based on available openings, adhering to departmental procedures and guidelines.
  • Confirms different types of insurance coverage as per billing procedures and provides customers with relevant product and service information.
  • Handles phone inquiries and responds to customer requests effectively.
  • Identifies, investigates, and resolves customer issues utilizing the computer system.
  • Follows up on unresolved customer inquiries to ensure satisfaction.
  • Maintains call logs and prepares reports as needed.
  • Performs additional duties as assigned.

Qualifications:

  • High School Diploma or GED is required.
  • A minimum of one (1) year of experience in an office or medical setting is preferred.
  • Bi-lingual proficiency in English and Spanish is highly desirable.
  • Exceptional customer service skills with the ability to communicate effectively and confidentially.
  • Strong interpersonal, organizational, and communication skills, both written and verbal, are essential.
  • Proficient computer and data entry skills are required.
  • Familiarity with Microsoft Office, the Internet, and email is necessary.
  • Ability to manage multiple tasks while maintaining a calm and organized demeanor.
