Position Overview

The Customer Service Specialist plays a crucial role in facilitating communication between patients and healthcare providers, employing exceptional customer service skills while managing a significant volume of incoming inquiries in a call center setting. Responsibilities include scheduling patient appointments and handling medical record tasks.

Key Responsibilities

The Customer Service Specialist will effectively manage incoming calls and accurately schedule appointments for both new and returning patients. Key responsibilities include:
  • Utilizing triage guidelines and scripts to assist patients calling into the center.
  • Operating a multi-line phone system, screening, and directing calls efficiently.
  • Collecting, verifying, and entering demographic and insurance information for all patients.
  • Performing additional related duties as assigned.
Qualifications

A High School diploma or GED is required, with an Associate's degree preferred. A minimum of one to two years of relevant experience in a high-volume medical call center is highly desirable. The Customer Service Specialist serves as the initial point of contact for our organization and must possess compassion, motivation, and strong organizational skills. Experience with electronic appointment scheduling and data entry is essential. Excellent phone etiquette and communication skills, along with strong interpersonal abilities, are critical. Bilingual proficiency in English and Spanish is required.

Work Environment and Physical Requirements
  • Variable 8-hour shifts between 7 am and 8 pm, including weekends as necessary.
  • Minimal physical effort required.
  • Continuous operation of computer and telephone.
  • Occasional travel may be necessary.

Generally works in an office environment with no exposure to bloodborne pathogens.

Physical and Mental Demands

Physical demands include walking, bending, sitting, standing, writing, reading, telephone use, and data input. Mental demands require the ability to manage changing priorities under potentially stressful conditions. Manual dexterity is necessary for keyboard and telephone use.
