Position Title: Treatment Coordinator

Reports to: Practice Managers

Overview:
As a vital member of our administrative team, the Treatment Coordinator plays a crucial role in facilitating the seamless onboarding of new patients at TN Specialty Dental Services, PLLC. This position requires a commitment to excellence in customer service and meticulous attention to detail to ensure an exceptional patient experience.

Key Responsibilities:

  • Prepare treatment rooms for all new patient evaluations.
  • Greet new patients and their families warmly upon arrival.
  • Ensure that every new patient has a pleasant experience during their visit.
  • Review new patient charts to confirm accurate information was recorded during scheduling.
  • Have an iPad ready for patients who have not completed their pre-appointment forms.
  • Manage new patient documentation, ensuring compliance with HIPAA regulations.
  • Conduct necessary X-rays for new patient appointments.
  • Provide precise pricing information based on recommended treatment plans, including verified insurance details when applicable.
  • Calculate and establish comfortable monthly payment options in line with office policies.
  • Maintain comprehensive records of contracts, fees, referrals, and other essential information.
  • Assist in scheduling by coordinating with Front Desk Coordinators as needed.
  • Ensure accurate data entry for charts and insurance information for the Insurance Coordinator.
  • Collect and scan new insurance information, including copies of insurance cards.
  • Facilitate contract signing with patients or guardians prior to the banding date.
  • Address any inquiries patients may have regarding their treatment.
  • Collaborate with Practice Managers to keep all contracts and documents current, gathering necessary updates as they arise.
  • Participate in all staff meetings, front office discussions, and daily huddles.
  • Represent the practice positively both within and outside the office environment.

Qualifications:
  • A minimum of 1 year of experience in treatment coordination is required.
  • Bilingual proficiency in Spanish and English is essential.
  • Demonstrated reliability with punctuality and flexibility in working hours.
  • Strong computer skills, including proficiency in Microsoft Word, Excel, Teams, and Outlook.
