Position Title: Treatment Coordinator

Reports to: Practice Managers

Overview of Responsibilities:

In collaboration with the administrative team and Practice Managers, the Treatment Coordinator plays a crucial role in facilitating the seamless onboarding of new patients.

This position is accountable for ensuring that all contracts are signed by the responsible party prior to or on the day of treatment initiation.

The Treatment Coordinator is also tasked with fostering performance and quality standards within the treatment area, utilizing exceptional customer service skills and meticulous attention to detail.

Additionally, this role involves maintaining comprehensive records and reports related to treatment coordination and communicating these to the Practice Manager.

Key Responsibilities:

  • Prepare treatment rooms for all new patient evaluations.
  • Greet new patients and their guardians warmly and promptly.
  • Ensure that every new patient experience is positive and welcoming.
  • Review all new patient records to confirm accurate information was captured during scheduling.
  • Have necessary technology ready for new patients who have not completed pre-appointment forms.
  • Oversee the completion of new patient documentation, ensuring compliance with HIPAA regulations.
  • Conduct initial X-rays for new patient appointments.
  • Provide precise pricing based on treatment recommendations, including verified insurance amounts when applicable.
  • Calculate payment plans for new patients that align with office policies.
  • Maintain records of contracts, fees, referrals, and other critical information.
  • Assist in scheduling by coordinating with Front Desk Coordinators as needed.
  • Ensure that all charting and insurance details are accurately entered for submission by the Insurance Coordinator.
  • Collect and scan new insurance information, including copies of insurance cards.
  • Facilitate contract signing with patients or guardians before or on the treatment initiation date, ensuring timely submission to the Insurance Coordinator.
  • Address any inquiries from patients regarding their treatment plans.
  • Collaborate with Practice Managers to keep all contracts and documents current, gathering necessary updates as changes occur.
  • Participate in all staff meetings, front office discussions, and daily briefings.
  • Represent the practice positively both internally and externally.
Qualifications:
  • Minimum of 1 year of experience in treatment coordination is required.
  • Bilingual proficiency in Spanish and English is essential.
  • Demonstrated commitment to punctuality and flexibility in work hours.
  • Strong computer skills, including proficiency in Microsoft Word, Excel, Teams, and Outlook.
