Office Coordinator

Job Overview:
We are seeking a dedicated Office Coordinator to support our administrative functions. This role is crucial in ensuring smooth operations within the office environment.

Key Responsibilities:
- Deliver exceptional customer service to students, staff, and visitors through various communication channels.
- Address general inquiries and provide assistance to enhance departmental efficiency.
- Manage incoming calls and direct them to the appropriate personnel or departments.
- Organize and confirm meetings, providing necessary logistical support including travel arrangements and room bookings.
- Assist in the advising, scheduling, and registration processes for students and faculty, ensuring all forms are prepared accurately.
- Perform essential clerical tasks such as drafting meeting minutes, creating agendas, and managing correspondence.
- Handle mail distribution and execute photocopying, faxing, and filing duties.
- Coordinate textbook orders and procure complimentary teaching materials.
- Maintain and update departmental web content and online portals.
- Aid in the development of marketing and promotional materials.
- Support various departmental functions including recruitment events and student recognition activities.
- Prepare periodic reports, such as grade distributions and other relevant data.

Qualifications:
- Minimum of three years in an administrative support role.
- Proficient in MS Word and Excel (2016 or later).
- Strong communication skills, both written and verbal.
- Excellent organizational abilities and time management skills.
- Exceptional customer service and interpersonal skills.
- Friendly demeanor with a service-oriented approach.
- Attention to detail and problem-solving capabilities.
- Ability to thrive in a fast-paced environment while maintaining confidentiality.
