Position Overview
The Senior Administrative Coordinator plays a pivotal role in delivering high-level support to the Vice President of Global Travel and Meeting Services, while efficiently managing a variety of administrative responsibilities to enhance the productivity and effectiveness of the Department and Office.

Key Responsibilities
  • Provide comprehensive support to the Vice President, including managing schedules, processing expense reports, and coordinating conference calls.
  • Oversee the Vice President's calendar and communications to ensure timely meetings and awareness of ongoing priorities.
  • Assist in organizing special events for the department, including logistics for hospitality events, attendance tracking, travel arrangements, and meeting administration.
  • Facilitate the flow of information to ensure inquiries are addressed promptly and departmental communications are disseminated efficiently.
  • Maintain an organized filing system for the Vice President to ensure quick access to information.
  • Collaborate with fellow Executive Assistants, internal teams, and external partners.
  • Draft, edit, and proofread letters, documents, and reports with meticulous attention to detail.
  • Manage the Travel/Meeting Intranet site and respond to inquiries directed to the Vice President's office.
  • Create and maintain spreadsheets and generate reports as required.
  • Support various research initiatives and special projects as needed.
  • Review and submit departmental expense reports using the designated expense management system.
  • Ensure the office environment is well-maintained and troubleshoot issues with office equipment, coordinating repairs as necessary.
  • Partner with IT support to resolve technical issues affecting departmental operations.
  • Maintain essential departmental documents, including organizational charts, vendor lists, contracts, invoices, and confidential records.

  • Technologically adept, with proficiency in relevant software applications.
  • Experience with Adobe Reader, Concur, Stova, CVENT, and FileNet is preferred.
  • Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, Teams, etc.).
Education and Experience
  • Preferred college degree.
  • Experience in administrative roles within a corporate setting.
  • Two or more years of full-time experience in the hospitality industry is preferred.
