Job Overview

An Office Operations Specialist plays a crucial role in overseeing the daily administrative functions within an organization. Responsibilities include managing phone communications, welcoming visitors, organizing meetings, and ensuring the office runs smoothly.

Key Responsibilities

  • Manage incoming calls and relay messages in a professional manner.
  • Welcome and assist visitors, ensuring compliance with security protocols.
  • Coordinate with hosts to facilitate visitor access and adherence to company policies.
  • Organize company events and meetings, ensuring all logistical needs are met.
  • Handle the distribution of mail and packages efficiently.
  • Maintain an orderly filing system for both physical and digital documents.
  • Prepare meeting spaces and manage reservations for conference rooms.
  • Work with vendors to procure office supplies and services in a timely manner.
  • Arrange travel itineraries for staff and guests as needed.
  • Ensure office spaces are well-maintained and organized.
  • Assist in managing office calendars and schedules.
  • Perform document management tasks including filing, copying, and scanning.
  • Anticipate and address the needs of the office proactively.
  • Oversee maintenance and repairs of office equipment.
  • Act as a liaison with building management for any facility-related issues.
  • Monitor administrative workflows with minimal oversight.
  • Manage inventory of office supplies and kitchen essentials.
  • Ensure the kitchen area is stocked and maintained in a clean state.
  • Coordinate food and beverage arrangements for meetings and events.
  • Provide support across various departments to facilitate smooth operations.

Qualifications

  • Outstanding communication skills, both verbal and written.
  • Ability to work independently and exercise sound judgment.
  • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Familiarity with standard office practices and equipment.

Education and Experience

  • Preferred: Associate's or Bachelor's Degree in Business Administration or a related field.
  • Minimum of 3 years of relevant administrative experience.
  • Experience in the aerospace and defense sector is advantageous.

Physical Requirements

  • Ability to stand for extended periods as needed.

Security Clearance

  • Must be able to obtain and maintain a Secret DoD clearance; U.S. Citizenship is required.

AEVEX Aerospace offers a competitive compensation package influenced by various factors including skills and experience. The starting salary range for this position is $26—$34 USD.
