The New York State Insurance Fund is in search of an Office Operations Supervisor to enhance our team in supporting the legal objectives of a significant federal agency. Key Responsibilities:

  • Coordinate and schedule Senior Management meetings via virtual platforms.
  • Initiate and manage hybrid meetings.
  • Collaborate with IT to troubleshoot technical issues.
  • Arrange travel logistics using designated applications.
  • Reconcile travel expenses for Senior Management.
  • Handle incoming calls and direct them appropriately.
  • Organize site events with dignitaries as required.
  • Manage scheduling with internal and external stakeholders.
  • Oversee correspondence and ensure proper distribution.
  • Organize tasks, processes, and physical spaces as necessary.
  • Schedule appointments and communicate on behalf of Senior Management.

Qualifications:

  • A minimum of four years of progressively responsible supervisory and management experience, demonstrating effective communication skills for client or attorney interactions.
  • Experience in public engagement via phone or front desk operations.
  • Proficient in document management and maintenance.
  • Exceptional telephone etiquette and experience with multiline phone systems.
  • Ability to review written communications for accuracy and consistency.
  • Experience in managing daily operations of a high-level office.
  • Proficient in office organization and general business operations.
  • Familiarity with MS Office Suite, including PowerPoint, Word, Excel, and Outlook.
  • Experience supervising and guiding office support staff as necessary.
  • Capacity to learn new software applications quickly.
  • Must be a self-motivated, resourceful individual who takes initiative.
  • Excellent oral and written communication skills are essential.
  • A bachelor's degree is required.

Preferred Qualifications:

  • A law degree, advanced technical certification, or other relevant graduate degree is preferred.
