This role offers a hybrid work arrangement with in-office flexibility three days a week.
Key Responsibilities:
- Prepare meeting materials related to clients and prospects ahead of sales discussions, including product-specific sales illustrations, policy summaries, reports, presentations, and marketing materials.
- Execute all underwriting tasks, including the preparation, completion, and dispatch of individual and multi-life disability, long-term care, and life insurance applications; maintain all data within MOSAIC.
- Schedule medical insurance examinations and procure all Attending Physician Statements (APS/Medical Records) in accordance with the underwriting guidelines of insurance carriers.
- Maintain communication with clients and Relationship Managers throughout the underwriting process, documenting all interactions and updates in MOSAIC to keep all parties informed of progress.
- Review insurance policies and prepare them for client delivery; follow up with clients regarding delivery requirements as necessary.
- Proactively manage the existing client portfolio by notifying clients of overdue insurance premiums and potential lapses in coverage, tracking all efforts and keeping the Relationship Manager updated on any issues.
- Collaborate with clients under the guidance of the Relationship Manager to present policy funding alternatives.
- Handle all insurance policy service requests, including changes to address, beneficiaries, ownership, premium modes, dividend options, and fund allocations.
- Process all policy modifications, including reinstatement of lapsed policies, changes in smoker ratings, addition or removal of policy riders, and adjustments to face amounts.
- Follow up with insurance carriers and vendors to ensure the timely and accurate execution of client service requests.
- For instance, ensure that a submitted change of beneficiary form is tracked from submission to confirmation of the update in the carrier's systems, and communicate completion to the client.
- Ensure data integrity in company records by routinely updating client and carrier/vendor information in MOSAIC and maintaining client files in accordance with compliance procedures.
- Perform administrative tasks, including ensuring data consistency, handling phone inquiries, reviewing incoming correspondence, filing, and welcoming clients.
- Organize all carrier and state licenses and appointments for Relationship Managers in collaboration with the in-house licensing coordinator.
- Process individual asset management applications, service requests, and performance summaries.
- Participate in occasional product training and best practices development sessions as directed by the Director of Client Services.
- Execute other duties as assigned.
Qualifications:
- Strong verbal and written communication skills.
- Knowledge of insurance products (life, disability, and long-term care) and an understanding of their features to effectively service clients.
- Familiarity with MOSAIC, including entering new clients, maintaining client data, policy record creation, task management, and calendar management.
- Proficiency in Fieldnet for running PAAR reports, accessing the Book of Business, and retrieving applications and forms.
- Experience with ServiceNet for viewing policy information and processing address changes online.
- Understanding of underwriting processes.
- Strong retention skills.
- Highly organized with the ability to manage multiple projects and clients simultaneously.
- Proficient in MS Office applications, including Outlook, Word, Excel, and PowerPoint.
- A dedicated work ethic with a commitment to excellence in client service.
Education and Experience:
- High School Diploma required; College Degree preferred.
- 1-3 years of prior experience, ideally within the financial services sector.
- Previous experience in processing insurance applications and delivering high-quality client service is preferred.
- Life and Health licenses are preferred but not required.
