Job Summary

We are seeking a highly organized and detail-oriented Client Services Representative to join our team at Everence. As a key member of our sales support team, you will provide exceptional customer service to our clients, consultants, and staff.

Key Responsibilities
  • Client Support
    • Manage client data and office processes using our client database system (CRM)
    • Provide technical expertise and clerical support for consultants
    • Deliver excellent customer service to current policyholders, members, prospects, and staff
  • Product Knowledge
    • Acquire and maintain a strong working knowledge of Everence investment and insurance products
    • Acquire and maintain a strong working knowledge of non-Everence investment and insurance products offered/supported by our office
  • Compliance and Administration
    • Acquire and maintain a strong working knowledge of compliance regulations
    • Attend scheduled sales staff team meetings and conference calls
    • Perform administrative tasks such as maintaining current product-related forms, photocopying, filing, scanning, faxing, constructing letters and memos, completing various mailings, and adding documentation to the client database system (CRM)
  • Sales Assistance
    • Provide sales assistance to our Everence Souderton office
    • Effectively manage customer inquiries and questions regarding various products and services
    • Process and maintain various communication approvals through the Broker-Dealer compliance system
    • Maintain current forms, investment materials, and compliance records
    • Prepare product illustrations and assemble ancillary forms needed for appointments or mailings
    • Prepare applications and service request forms using an automated form system (LaserApp, DocuPace)
    • Process and forward applications to appropriate departments and companies
    • Prepare issued policies for mailing with a cover letter
    • Place trades as directed by the consultant
    • Monitor pending trades and account activity and send thank you letters when confirmations are received
    • Prepare correspondence
    • Stay current with announcements posted daily on Everence secure consultant website, as well as non-Everence product websites
    • Prepare various client reports
    • Set up and maintain client files in hard copy, database management system (CRM), and scanning system (OnBase)
    • Assist consultants with licensing applications and renewals
    • Input client data using Financial Profiles software
    • Schedule client appointments, and answer phone calls
    • Handle marketing and mailing projects as necessary
    • Screen incoming calls and forward them to the appropriate consultant
    • Assist with other projects as assigned
    Requirements
    • Education
      • Prefer at least two years of college or specialized training
    • Experience
      • Prior experience in financial services or the insurance industry is preferred
      • A minimum of two years of administrative support experience preferred, including proficiency in using Microsoft Office software
      • Must have experience or aptitude to learn PC-based software programs
    • Skills and Abilities
      • Initiative, organizational skills, strong attention to detail, good judgment, a positive attitude, and problem-solving abilities

      • Ability to handle multiple tasks and interruptions with efficiency, calmness, and courtesy
      • Ability to relate and communicate well with all contacts, internal and external
      • Ability to handle difficult situations with tact and diplomacy: sensitivity to confidentiality of information
      • Excellent communication skills including both written and verbal; good grammar and spelling skills
      • Ability to meet the public in a professional and friendly manner
      • Aspirations toward advancement to a consultant role preferred
