Job Title: Associate OneSource Service Support Specialist

We are seeking a highly skilled Associate OneSource Service Support Specialist to join our team. As a key member of our scientific services team, you will be responsible for providing exceptional support to our clients and ensuring the smooth operation of our laboratory services.

Key Responsibilities:
  • Administer the computerized Maintenance Management System (CMMS) to ensure timely update and closure of work orders.
  • Utilize SAP, Service Max, and/or customer systems to capture relevant details regarding events.
  • Input data from Field Service Reports into SAP, Service Max, and/or customer systems, ensuring accuracy and attention to detail.
  • Complete follow-up transactions in a timely and organized manner, meeting deadlines and minimizing errors.
  • Collect customer data and information for account creation and maintenance, equipment additions, deletions, or entitlement changes.
  • Collaborate with third-party contractors to maintain compliance with work order closure and contractual metrics.
  • Provide regular updates to customers regarding work requests in a timely fashion.
  • Manage calibration label procedures at site, ensuring adherence to LIS processes for identified equipment.
  • Ensure compliant documentation, including engineering service reports, are stored and filed according to GxP and GDP practices.
  • Assist customers and clients in preparing for audits, retrieving documentation for inspection purposes.
  • Liaise daily with other scientific services staff across all sites.
  • Report scheduling failures to local schedulers and/or customers to reschedule.
  • Perform all work in accordance with established safety procedures.
  • Comply with company policies and procedures, adhering to company standards.
  • Escalate issues or concerns in a timely manner.
  • Maintain training and compliance in areas of health and safety, security, environmental, and operational aspects of daily activities.
Requirements and Technology Experience:
  • High School Diploma or equivalent with 3+ years' experience in an administrative support role.
  • B.A/B.S. Degree or associate degree, or 1+ years of experience in an administrative data managing role.
  • Technical problem-solving skills and attention to detail.
  • Strong communication skills, both written and verbal.
  • Self-motivated and ability to work under pressure to balance conflicting deadlines.
  • Initiative-driven with proactive skills to improve processes.
  • Service-oriented attitude combined with innovative thinking.
  • Strong interpersonal skills; strong team player with customer satisfaction focus.
  • Advanced MS Microsoft 365 skills, including Outlook, Teams, Word, and Excel.
  • Ability to work in a laboratory, controlled environments requiring personal protective equipment.
  • Job pace may be fast, and job completion demands may be high.
  • Ability to remain in a stationary position more than 25% of the time.
  • Occasional movement between labs, corridors, adjoining rooms, and buildings onsite.
  • Frequent operation of instruments, objects, tools, or controls, requiring regular bending, squatting, stretching, and reaching.
  • Occasional lifting of up to 25 pounds (potential for occasional lifting of up to 50 pounds).
  • Specific vision abilities required for this position include observing details at close range, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • Occasional operation of a computer and other office machinery.
  • Employee may be required to handle hazardous waste according to local, state, and federal regulations.
  • Potential risk to lab-based hazards, including extreme temperature, biological materials, and hazardous chemicals.
  • May be required to complete Medical Clearance, Respiratory Protection Training, and Fit Testing to wear a respirator as protection against animal allergens.
  • Experience in a scientific environment.
  • Strong understanding of GLP/GxP and/or experience working in a compliance-driven environment.
  • Knowledge and understanding of EHS procedures.
  • Experience working with CMMS databases.
