Job Summary

The Executive Support Specialist at Emerald Logistix is responsible for providing administrative and clerical support to ensure the efficient operation of the office. This role involves managing office tasks, coordinating meetings, handling communications, and assisting various departments with day-to-day activities.

Key Responsibilities
  • Manage and organize office activities, including scheduling meetings, managing calendars, and coordinating appointments
  • Answer and direct communications to the appropriate staff members
  • Prepare and edit documents, reports, presentations, and correspondence
  • Maintain and update filing systems (both digital and physical), ensuring all records are organized and easily accessible
  • Assist with the preparation of reports and gathering information for various projects
  • Order office supplies and manage office inventory
  • Greet and assist visitors, ensuring a positive and professional experience
  • Assist in event planning and coordination for company events and meetings
  • Coordinate travel arrangements, including booking flights, hotels, and transportation for staff members
  • Perform basic bookkeeping tasks, such as processing invoices and managing petty cash
  • Liaise with other departments to ensure smooth communication and collaboration within the company
Qualifications
  • High school diploma or equivalent; additional education or certifications in office administration or related fields is a plus
  • Previous experience as an administrative assistant, office assistant, or similar role is preferred
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong organizational and time management skills with the ability to prioritize tasks
  • Excellent written and verbal communication skills
  • Ability to work independently and as part of a team
  • Attention to detail and problem-solving abilities
