Full Time Facilities Coordinator Role

About the Role

As a key member of the May Institute's Corporate Offices team in Randolph, MA, you will play a vital role in supporting our staff who work with individuals with autism and developmental disabilities to help them achieve their goals and dreams. Your primary responsibility will be to provide essential support to our facilities team, ensuring the smooth operation of our corporate offices.

Key Responsibilities

  • Assist the Director of Facilities with preparing reports and presentations to inform strategic decisions.
  • Maintain open lines of communication with all departments to ensure seamless collaboration and information sharing.
  • Perform a range of clerical duties, including responding to inquiries, maintaining files and databases, and providing administrative support as needed.
  • Conduct accounting tasks, including invoicing and budget tracking to ensure financial accuracy and compliance.
  • Work closely with the procurement department to negotiate vendor agreements and RFPs.
  • Provide backup support for the Facility Administrator and Fleet Manager as required.
  • Assist with other projects for the Facilities Department as needed.

Requirements

  • Office Experience - A minimum of two years' experience in an office setting is required.
  • Microsoft Skills - Strong computer skills and knowledge of the Microsoft Office suite are essential.
  • Leadership Skills - Ability to understand the nature and importance of situations and handle them with discretion.
  • Communication Skills - Effective communication skills, both written and verbal, to interact with a wide range of audiences.
  • Efficiency - Ability to multitask and work independently with minimal supervision.
  • Knowledge - Familiarity with industry-specific terminology and the ability to understand work orders and workflow.
  • Professionalism - Excellent customer service skills and ability to interact with the divisions you support.
