Job Overview

The Medical Office Associate is responsible for a variety of essential administrative functions within a healthcare setting.

Key Responsibilities:
  • Facilitates patient appointment scheduling and management
  • Handles patient check-in and check-out processes in the electronic health record system
  • Transcribes medical orders accurately
  • Coordinates patient referrals efficiently
  • Oversees online appointment requests for physical therapy
  • Calculates estimates, collects co-payments, and manages upfront balances
  • Maintains EPIC work queues to ensure timely processing
  • Manages incoming calls for the department
  • Monitors the appointment reminder system
  • Orders necessary office and clinical supplies
  • Assists patients in resolving scheduling, registration, and insurance inquiries
  • Delivers exceptional customer service
  • Completes all mandatory training specific to the role
  • Supports insurance-related tasks as required
  • Ensures effective communication with supervisors and colleagues
  • Performs additional administrative duties as needed
Qualifications:

Required:
1. High School Diploma or equivalent experience
2. Previous administrative experience in a healthcare environment is strongly preferred
3. Familiarity with computerized scheduling and electronic medical records is advantageous

Preferred:
1. Strong verbal and written communication skills
2. Customer-focused with the ability to manage multiple tasks simultaneously
3. Bilingual capabilities are a plus
