KEY RESPONSIBILITIES:

  • Oversee the CEO's schedule by prioritizing requests and resolving conflicts, making informed decisions to facilitate seamless daily operations.
  • Draft and finalize memos, and prepare communications on behalf of the executive.
  • Lead the creation of presentations and all associated materials required for formal meetings with the Executive Team or company-wide gatherings.
  • Conduct research and analyze data to support projects, events, and initiatives led by directors.
  • Organize and maintain board records, documents, and reports.
  • Compile data to prepare documents for review and presentation by boards of directors, committees, and executives.
  • Accurately document minutes from board meetings.
  • Utilize various software tools, including Microsoft Office Suite, spreadsheets, and video conferencing platforms.
  • Review and analyze incoming memos, submissions, and distribute them as necessary.
  • Coordinate business travel arrangements for the CEO.
  • Perform administrative tasks, including ordering office supplies.
  • Sort and distribute incoming correspondence.
  • Provide general administrative and office management support to the management team.
  • Assist in organizing team meetings and events, including logistics, catering, and setup.

QUALIFICATIONS:

  • Bachelor's degree required.
  • Minimum of 5 years of professional experience.
  • Proficient in Google and Microsoft Office suites.
  • Familiarity with Doodle polls.
  • Extensive experience working with a board of directors.
  • Demonstrated ability to multitask with exceptional organizational skills.
  • Strong verbal and written communication skills.
  • Experience in event planning is essential.
  • Effective decision-making and prioritization abilities.
  • Experience working with diverse and culturally competent communities.
