About the Role

We are seeking a highly skilled and organized Administrative Assistant to join our team at Premise Health. As a key member of our Employer Health Clinic, you will play a vital role in supporting our healthcare professionals and ensuring the smooth operation of our clinic.

Key Responsibilities
  • Calendar Management: Manage calendars for internal and external meetings, ensuring seamless coordination and communication.
  • Meeting Planning: Plan and schedule meetings, including room reservations, invitations, and accommodations, as well as food and beverage arrangements.
  • Travel Coordination: Coordinate and confirm travel arrangements for team members, ensuring timely and efficient travel.
  • Expense Reporting: Prepare and review expense reports, submitting them to accounting in a timely manner.
  • Document Creation: Create original Word documents and PowerPoint presentations, ensuring high-quality and professional output.
  • Administrative Support: Provide administrative support, including answering incoming calls, copying, binding, opening and routing mail, electronic and standard file management, and correspondence drafting.
  • Event Planning: Assist with event planning and coordination, ensuring successful and well-executed events.
  • Problem-Solving: Identify and solve problems in a timely manner, gathering and analyzing information skillfully and developing alternate solutions.
  • Interpersonal Skills: Demonstrate exceptional interpersonal skills, including listening skills, and remain open to other ideas and perspectives.
  • Professionalism: Conduct oneself with professionalism and tact, treating others with respect and consideration.
  • Customer Service: Provide strong customer service, responding quickly and appropriately to customer needs and managing difficult or emotional situations.
  • Annual Competencies: Demonstrate ability to perform and maintain Annual Competencies.
Requirements
  • Education: One year certificate from college or technical school with concentration in front office support for medical settings.
  • Experience: At least three years of experience providing administrative support in a clinic or office setting.
  • Skills: Strong computer skills and knowledge of Internet software, Spreadsheet software, and Word Processing software. Ability to prioritize and handle multiple projects to meet deadlines with minimal supervision. Excellent oral and written communication skills, with ability and comfort level communicating with senior management. Highly organized, high energy, positive attitude, self-starter, and independent thinker. Knowledge of Medical Practice software a plus.
