Position Overview:

We are looking for a meticulous and committed Sales Operations Coordinator to become an integral part of our vibrant team. In this pivotal role, you will provide essential administrative support to our sales personnel and clients, enhancing our sales operations and contributing to customer satisfaction and business growth. Key Responsibilities:

  • Order Processing: Ensure accurate entry, confirmation, and management of all sales and purchase orders through our ERP system, including lot numbers and bin codes for tracking; coordinate daily with customers, production, warehouse, vendors, and logistics to ensure timely order fulfillment; monitor daily inventory levels. Handle EDI orders, advanced shipment notices, shipment tracking, routing orders, and late shipment reporting.
  • Order Management: Collaborate daily with sales and warehouse teams to update order changes accurately.
  • Shipping Coordination: Communicate with logistics teams to manage shipping of products from our vendors.
  • Track Accounts Receivable Statements and communicate updates to the Sales Team.
  • Manage reconciliation and disputes regarding credits and deductions.
  • Assist Grain Procurement with shipping and sales forecasting.
  • Monitor inventory of outsourced items and customer drop-ships.
  • Gain proficiency in the ERP system for daily operations.
  • Support the setup of new items and maintain the Master Item Specification Sheet.
  • Work with customer-specific systems for data entry and sales reporting.
  • Coordinate trade shows in collaboration with the Sales Team.
  • Assist the Sales Team in preparing customer presentations and meetings.
  • Procure marketing materials, brochures, signage, etc.
  • Manage customer samples and UPS shipments.
  • Provide weekly sales performance reports.
  • Conduct competitive market analysis.
  • Perform other duties as assigned.

Qualifications and Skills:

  • 3-5 years of experience in customer service or sales support.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Highly organized with strong attention to detail, creativity, and reliability.
  • Proficient with technology and quick to learn new systems.
  • Experience with Microsoft Office and Dynamics 365 is preferred.
