Position Summary:

We are looking for a meticulous and committed Sales Support Specialist to enhance our sales operations and facilitate the efficient processing of orders. This role involves managing sales documentation, liaising with both national and international partners, and ensuring all paperwork aligns with regulatory standards. The ideal candidate will be organized, possess excellent communication skills, and thrive in a dynamic work environment.

Key Responsibilities:

  • Accurately input, verify, and oversee all sales contracts and orders using our ERP system.
  • Facilitate purchase contracts and orders as necessary.
  • Coordinate daily with customers, production teams, warehouses, vendors, and logistics to ensure timely order fulfillment and monitor inventory levels.
  • Track shipments, manage order routing, and report on late shipments.
  • Prepare and manage export documentation, including bills of lading, commercial invoices, and certificates of origin, ensuring compliance with international trade regulations and company policies.
  • Monitor accounts receivable and communicate regarding credit reconciliations and disputes.
  • Assist in grain procurement through shipping and sales forecasting.
  • Support inventory tracking for outsourced items and customer dropships.
  • Learn and navigate the ERP system for daily operational tasks.
  • Assist with the setup of new items.
  • Prepare monthly statements for customer contract balances.
  • Provide support for transfer/co-manufacturing and inbound logistics.
  • Coordinate trade shows in collaboration with the sales team.
  • Assist the sales team in preparing customer presentations and meetings.
  • Manage customer samples and small order shipments, with the ability to lift up to 50 lbs.
  • Facilitate the provision of frequently requested documentation for customers, in collaboration with the Quality Assurance team.
  • Perform other duties as assigned.

Qualifications and Skills:

  • 3-5 years of experience in customer service or sales support.
  • Ability to work independently while also collaborating effectively in a fast-paced team environment.
  • Experience with EDI orders and advanced shipment notices is a plus.
  • Highly organized with strong attention to detail, creativity, and reliability.
  • Proficient with technology and quick to learn new systems.
  • Familiarity with Microsoft Office and Dynamics 365 is preferred.
