Position Overview:

The Financial Operations Manager plays a pivotal role in overseeing the financial activities within the Information Technology Services Division (ITSD). Reporting directly to the Assistant Vice Chancellor for IT Business Operations, this position is integral in the formulation and oversight of departmental budgets, ensuring alignment with institutional financial strategies.

Key Responsibilities:

  • Assist in the development and management of the ITSD budget, collaborating closely with the Office of Budget and Financial Planning.
  • Provide strategic advice on financial and personnel management to the AVC, maintaining comprehensive records of all departmental transactions.
  • Generate detailed financial reports and analyses to support decision-making processes.
  • Oversee the financial and administrative operations of the unit, including grants and contracts management.
  • Supervise and mentor the Assistant Business Manager, fostering a collaborative and efficient work environment.

Essential Duties:

  • Prepare and present budgetary reports to assist in the preparation of ITSD's financial submissions.
  • Manage and reconcile departmental accounts, ensuring accurate tracking of expenditures.
  • Provide fiscal projections and assist in long-term financial planning for the division.
  • Coordinate with procurement teams to facilitate the acquisition of software licenses and equipment.
  • Process purchase orders and ensure compliance with university policies.
  • Review and verify travel and expense reports for ITSD staff, providing assistance with reimbursement processes.
  • Collaborate with HR and finance departments to ensure timely processing of personnel-related paperwork.
  • Engage in system implementation feedback to enhance finance and HR processes.
  • Perform additional duties as assigned to support the division's objectives.

Qualifications:

A Bachelor's Degree in Business Management, Accounting, or a related field is required, along with a minimum of five to seven years of relevant experience in higher education administration or budget management. Proficiency in developing spreadsheets and financial reports is essential.

  • Extensive knowledge of Microsoft Office suite and university administrative procedures.
  • Strong understanding of accounting principles and budget management.
  • Ability to prioritize tasks and manage multiple projects effectively.
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong interpersonal skills with a commitment to customer service.
