Job Overview

The Financial Operations Manager is instrumental in supervising the fiscal activities of Catholic Charities, aiding the Controller in the daily financial reporting and accounting processes. This role involves monitoring and utilizing the General Ledgers across all entities while ensuring a robust system of internal controls and financial reporting mechanisms to facilitate effective internal and external financial reporting on a monthly, quarterly, and annual basis.

Key Responsibilities

  • Collaborate with the Controller to develop and uphold general ledger formats and financial statement structures for all Catholic Charities offices, adhering to Generally Accepted Accounting Principles (GAAP) and the American Institute of Certified Public Accountants' standards for non-profit accounting.
  • Oversee month-end and year-end closing procedures, ensuring precision and compliance with deadlines and organizational policies.
  • Prepare standard monthly journal entries, adjusting journal entries, and maintain relevant supporting schedules.
  • Review specific journal entries made by other members of the financial team.
  • Generate additional financial, tax, and special reports as required from the financial system.
  • Ensure an effective, timely, and accurate reconciliation process, including thorough reviews of reconciliations.
  • Provide direct supervision to the Accounting Coordinator, including conducting performance evaluations, offering ongoing feedback, and promoting professional growth.
  • Identify opportunities for process improvements within the monthly closing procedures and financial statement production.
  • Assist the CFO and Controller in liaising with the Finance Committee and Auditors, including preparing and presenting financial information for committee meetings.
  • Prepare and/or review annual audit schedules and assess audit schedules compiled by other department members.
  • Maintain and enhance knowledge of the G/L accounting software, ensuring system integrity.
  • Oversee the formats of the G/L accounting software system, including chart of accounts, financial statements, and budget loading.
  • Update office policies and procedures as necessary in collaboration with the Controller.
  • Manage asset management and depreciation schedules.
  • Work is conducted in an office environment with computers and other office equipment, requiring daily interaction with employees and external business associates as needed. A hybrid work model is in place, with onsite work expected three days a week, subject to change based on position requirements.
  • Engage in local travel as necessary to meet with colleagues and other stakeholders.
  • Perform other duties as assigned.

Qualifications

  • Bachelor's degree in accounting (CPA preferred but not mandatory).
  • Three to five years of experience in financial statement preparation and analysis.
  • Prior supervisory experience managing financial professionals.
  • Strong understanding of month-end and year-end closing responsibilities.
  • Proficiency in non-profit fund accounting.
  • Excellent presentation, communication, and interpersonal skills, both written and verbal, with a keen attention to detail.
  • Experience with computerized accounting systems, multi-cost centers, financial statement preparation, and spreadsheet applications.
  • Familiarity with Microsoft Office Suite, e-learning platforms, virtual communication tools, and other database systems.
  • Ability to establish and maintain positive and professional relationships with colleagues and external parties.
  • Ability to lift and move up to 15 lbs.
  • Valid driver's license or access to reliable transportation for local travel as needed.
