POSITION OVERVIEW: The Financial Operations Manager will oversee all daily accounting functions for a budget of approximately $26 million. This role involves providing ongoing performance management, guidance, direction, and oversight to a team of three employees. The Financial Operations Manager will offer expert financial advice in areas such as internal and external financial reporting, financial planning, budgeting, and financial analysis, in addition to providing counsel on all financial activities. Responsibilities also include maintaining the journals and general ledgers of JVS. Furthermore, the Financial Operations Manager will act as a representative for operational matters with banking, investment, and other financial institutions. CORE COMPETENCIES: Supervision and Collaboration:
  • Responsible for managing and supervising three staff members, with functional oversight over accounting, accounts payable, accounts receivable, and payroll reconciliation.
  • Conduct year-end evaluations of staff and develop professional growth plans.
  • Oversee the hiring and onboarding processes for new direct reports and team members as necessary.
  • Provide training to stakeholders on financial processes, information, and updates.
Banking and Treasury:
  • Serve as the primary contact for both investment and banking relationships.
  • Manage daily funding and disbursement activities, forecast net cash positions, analyze bank transactions, and assess investment and borrowing activities.
Internal Controls: Maintain internal controls and safeguards for the agency, including:
  • Revenue receipt management.
  • Cost recording.
  • Program budgets and actual expenditures.
  • Grant expenditure oversight.
  • Selecting, designing, and overseeing software installations while managing vendor relationships.
  • Providing counsel and ensuring compliance with JVS Boston's financial standards and policies.
  • Managing the agency's credit card program and corporate purchasing accounts.
Internal and External Reporting:
  • Design, manage, and maintain the agency's financial fund accounting system, integrating it with other financial applications and agency databases.
  • Develop, implement, and maintain a system for reporting relevant quantitative operating information to management.
  • Prepare financial packages for the Board and Budget & Finance Committee, as well as funders as appropriate.
  • Compile executive summaries and operational reports comparing budgeted versus actual results, providing interpretive follow-up with responsible staff.
  • Generate reports and schedules as required for the annual audited financial package and associated filings, in coordination with the contract CPA firm.
  • Project cash flow effectively.
Planning/Organizing:
  • Develop, automate, and document systems, policies, procedures, and internal controls to ensure compliance with accounting standards and enhance efficiencies.
  • Integrate budgeting and forecasting into accounting and control systems, along with related reporting as appropriate.
  • Collaborate with senior leadership, People & Culture (P&C), organizational operations, and information technology (IT) staff to enhance and better integrate finance, P&C, operations, and IT functions.
Analysis:
  • Analyze functional spending and operating costs in relation to industry-specific ratios and metrics.
  • Provide analytical support, analysis, and presentations as needed.
  • Assist the CFO in engaging the Board's Budget & Finance and other committees regarding financial operations issues and trends.
MINIMUM QUALIFICATIONS:
  • Bachelor's degree in Accounting or a related field; CPA/MBA preferred. Exceptional accounting skills are essential.
  • A minimum of 7 years of progressive accounting experience in a nonprofit organization, with specific expertise in nonprofit revenue recognition, statement production, and compliance.
  • At least 2 years of direct supervisory experience.
  • Proficiency in nonprofit fund accounting systems.
  • Strong working knowledge of Microsoft Office, particularly Intermediate/Advanced Excel.
  • Self-motivated with the ability to prioritize and manage multiple deadlines and projects.
  • Capability to troubleshoot, design, implement, and manage systems that contribute to an efficient working environment.
  • Meticulous attention to detail, with excellent analytical, problem-solving, verbal, and written communication skills.
  • Able to work effectively with the Board of Directors, senior staff, volunteers, and peers.
  • Creative, results-oriented, and energetic, with the ability to work independently and collaboratively in a team environment.
