Overview

The Senior Patient Access Control Specialist is tasked with the registration of both inpatient and outpatient surgical patients. This role also involves managing Direct Admit postings from various sources including healthcare providers and hospital facilities.

Key Responsibilities

  • Facilitates the registration and admission of incoming patients (elective, emergency, surgical outpatients) ensuring all documentation is complete and accurate, including signed Conditions of Admission forms, copies of insurance cards, and necessary claim forms. Provides copies of patient registrations to medical residents.
  • Allocates beds for all incoming elective and emergency patients, accommodating preferences whenever feasible. Ensures proper accommodation codes are applied to address private versus semi-private situations, ensuring satisfaction for both patients and physicians. Also manages bed assignments for patients transitioning from ICU or between floors.
  • Ensures that charge plates are accurately recorded and that the bed board is updated accordingly.
  • Performs various administrative tasks such as supplying residents with copies of admission documents reflecting room assignments, sharing patient information with physician offices, and timely ordering of supplies.
  • Coordinates the release of patients who have passed away, ensuring that no remains are collected by funeral services without the appropriate releases.
  • Processes physician postings and completes the operating room schedule, noting patient details including contact numbers and insurance information. Prepares the pre-admission form for processing.
  • Handles patients' protected health information (PHI) in compliance with Health Insurance Portability and Accountability Act (HIPAA) standards.
Qualifications
  • High School Diploma or equivalent is required.
  • Preferred experience includes at least 1 year in a hospital admitting role.
  • Proficiency in Microsoft Office applications.
  • Willingness to work beyond standard hours when necessary.
  • Exceptional customer service skills, with a strong ability to negotiate and resolve issues.
  • Demonstrated effective written and verbal communication skills.
  • Meticulous attention to detail.
  • Ability to meet deadlines amidst frequent interruptions.
Working Conditions
  • Flexibility to work outside of standard business hours as required.
  • Physical Demands: The role involves moving around the work area, sitting, performing manual tasks, and operating office equipment. It requires repetitive hand movements for typing and writing, as well as the ability to stand, walk, kneel, and communicate effectively.
  • Mental Demands: The employee must be capable of following directions, collaborating with colleagues, and managing stress effectively.
  • Work Environment: The position is based in a well-lit and ventilated office setting, subject to frequent interruptions. There is minimal exposure to infectious diseases and hazardous materials. The employee may interact with patients, family members, and visitors in various emotional states.
