Overview
The Senior Admissions Coordinator is tasked with the registration of both inpatient and outpatient surgical patients. This role also encompasses the management of Direct Admit postings from various healthcare facilities, including Kaiser and physician offices.
Key Responsibilities
- Facilitates the registration and admission process for incoming patients (elective, emergency, surgical outpatients), ensuring all necessary documentation is complete, including signed Conditions of Admission forms, insurance cards, and claim forms. Provides copies of patient registrations to medical residents.
- Allocates beds for all incoming elective and emergency patients, striving to honor stated preferences whenever feasible. Ensures proper accommodation codes are applied to address private versus semi-private situations, maintaining satisfaction for both patients and physicians. Also manages bed assignments for patients transitioning from ICU or between floors.
- Ensures charge plates are accurately recorded and updates the bed board as necessary.
- Handles various administrative tasks, such as supplying residents with copies of admission documents that reflect room assignments, providing patient information to physician offices, and timely ordering of supplies.
- Oversees the release of patients who have passed away, ensuring that no patients are collected by funeral homes without the appropriate releases.
- Processes physician postings and completes the operating room schedule, noting patient details including names, contact numbers, and insurance information. Prepares for the initiation of pre-admit forms.
- Utilizes, safeguards, and discloses patients' protected health information (PHI) in strict accordance with Health Insurance Portability and Accountability Act (HIPAA) regulations.
- High School Diploma or equivalent is required.
- One year of experience in hospital admissions is preferred.
- Proficiency in Microsoft Office.
- Willingness to work beyond standard hours when necessary.
- Exceptional customer service skills, with a strong ability to negotiate and resolve issues.
- Demonstrated effective written and verbal communication skills.
- Meticulous attention to detail.
- Capability to meet deadlines amidst frequent interruptions.
- Availability to work outside of regular business hours as required.
- Physical Demands: The role involves moving around the work area, sitting, performing manual tasks, and operating office equipment such as computers and telephones. Frequent standing, walking, and the ability to lift light items (up to 15 pounds) are necessary.
- Mental Demands: The employee must be able to follow instructions, collaborate effectively, and manage stress.
- Work Environment: The position is based in a well-lit and ventilated office setting, subject to frequent interruptions. Minimal exposure to infectious diseases and hazardous materials is expected. Interaction with patients, family members, and coworkers may occur under various conditions.
