Job Overview

Position Summary

The Senior Patient Access Bed Control Representative is tasked with the essential role of managing the registration process for both inpatient and outpatient surgical patients. This position also entails handling Direct Admit postings from various sources including Kaiser, physician offices, and other healthcare facilities.

Key Responsibilities

  • Efficiently registers and admits incoming patients (elective, emergency, surgical outpatients) ensuring all necessary documentation is complete, including signed Conditions of Admission forms, copies of insurance cards, and claim forms. Ensures patients are comfortably situated and provides copies of registration to relevant personnel.
  • Allocates beds for all incoming elective and emergency patients based on preferences when feasible. Manages accommodation codes to address private versus semi-private room concerns, ensuring satisfaction for both patients and physicians. Responsible for bed assignments for patients transitioning from ICU or between floors.
  • Ensures charge plates are accurately recorded and updates the bed board as necessary.
  • Handles various administrative tasks such as providing residents with copies of admission documents reflecting room assignments, sharing patient information with physician offices, and timely ordering of supplies.
  • Facilitates the release of patients who have passed away, ensuring proper documentation is obtained before any arrangements with funeral homes.
  • Processes physician postings and completes the operating room schedule, noting patient details and insurance information. Prepares pre-admission forms as needed.
  • Utilizes, safeguards, and discloses patients' protected health information (PHI) in strict accordance with HIPAA regulations.

Qualifications

  • High School Diploma or equivalent is required.
  • Preferred experience of at least 1 year in a hospital admitting role.
  • Proficiency in Microsoft Office applications.
  • Flexibility to work beyond standard hours when necessary.
  • Exceptional customer service skills, with a strong ability to negotiate and resolve issues.
  • Demonstrated effective written and verbal communication skills.
  • Meticulous attention to detail.
  • Capability to meet deadlines amidst frequent interruptions.

Work Environment

  • Must be available to work outside of regular business hours as required.
  • Physical Requirements: The role involves moving around the work area, sitting, performing manual tasks, and operating office equipment. It may require repetitive hand movements, walking long distances, and light lifting (up to 15 pounds).
  • Mental Requirements: The individual must be able to follow instructions, collaborate effectively, and manage stress.
  • Work Setting: The position is based in a well-lit and ventilated office environment, subject to frequent interruptions. Minimal exposure to infectious diseases and hazardous materials is expected. Interaction with patients, family members, and colleagues may occur under various emotional conditions.
