Overview
The Senior Admissions Bed Management Coordinator is tasked with overseeing the registration process for both inpatient and outpatient surgical patients. This role also involves managing Direct Admit postings from various healthcare providers and facilities.

Key Responsibilities

  • Facilitates the registration and admission of incoming patients (elective, emergency, surgical outpatients) ensuring all necessary documentation is complete, including signed Conditions of Admission forms and copies of insurance cards.
  • Allocates beds for all incoming elective and emergency patients, adhering to patient preferences whenever feasible. Ensures appropriate accommodation codes are utilized to address private versus semi-private situations, while ensuring satisfaction for both patients and physicians.
  • Ensures that charge plates are accurately documented and that the bed board is updated accordingly.
  • Handles various administrative tasks such as providing residents with copies of admission documents that reflect room assignments, supplying patient information to physician offices, and timely ordering of necessary supplies.
  • Manages the release process for patients who have passed away, ensuring that no remains are collected by funeral services without proper authorization.
  • Processes physician postings and completes the operating room schedule, noting essential patient information including contact numbers and insurance details.
  • Utilizes, protects, and discloses patients' protected health information (PHI) in compliance with Health Insurance Portability and Accountability Act (HIPAA) standards.

Qualifications

  • High School Diploma or equivalent is required.
  • Preferred experience of at least 1 year in hospital admissions.
  • Proficiency in Microsoft Office applications.
  • Willingness to work beyond standard hours when necessary.
  • Exceptional customer service skills, with a strong ability to negotiate and resolve issues.
  • Demonstrated effective written and verbal communication skills.
  • Strong attention to detail.
  • Ability to manage tasks within deadlines amidst frequent interruptions.

Working Conditions

  • Flexibility to work outside of normal business hours as required.
  • Physical Demands: The role may require moving around the work area, sitting, performing manual tasks, and operating office equipment. Frequent standing, walking, and light lifting (up to 15 pounds) may also be necessary.
  • Mental Demands: The individual must be capable of following directions, collaborating with colleagues, and managing stress effectively.
  • Work Environment: The position is based in a well-lit and ventilated office setting, subject to frequent interruptions. Minimal exposure to infectious diseases and hazardous materials is expected. Interaction with patients, family members, and coworkers may occur under various emotional conditions.
