Acts as the primary liaison for facilitating access to Keck Medicine of USC's academic medical facilities and health sciences resources. Manages incoming and outgoing communications through various channels, including phone calls, electronic messages, and web-based platforms, utilizing a comprehensive call management system. Addresses basic inquiries and directs more complex questions to the appropriate healthcare professionals. Responsible for disseminating messages to medical staff through multiple electronic communication methods, including text, voice, and email. The Patient Access Coordinator I may also assist in scheduling and confirming both initial and follow-up medical appointments as necessary.

Key Responsibilities:

  • 1. Exhibits proficiency in the quality of work and knowledge expected of a Patient Access Representative.
  • 2. Aims for resolution on the first point of contact while demonstrating exceptional customer service.
  • 3. Maintains a warm, courteous, and professional demeanor in line with Keck Medicine's customer service standards during all interactions.
  • 4. Ensures consistent accuracy in all tasks related to the role and daily responsibilities.
  • 5. Displays a collegial and professional attitude in all communications.
  • 6. Contributes effectively as a collaborative team member within the Patient Access Center and Keck Medicine.
  • 7. Adheres to Keck Medicine's communication standards and policies.
  • 8. Accepts additional assignments across various areas within the organization as directed by management.
  • 9. Expected to work remotely as required, following established departmental guidelines for remote operations.
  • 10. Performs other duties as assigned.
  • 11. May verify insurance information as necessary.
  • 12. May contact physicians as per internal protocols, ensuring professionalism and timeliness.
  • 13. Conducts follow-up checks on all open communications while on duty and prior to shift completion.
  • 14. Addresses staff and patient concerns with courtesy and professionalism.
  • 15. Manages incoming and outgoing communications through the organizational communication management system, transferring calls to the appropriate departments or medical personnel.
  • 16. Processes messages in accordance with departmental procedures, ensuring compliance with privacy regulations.
  • 17. Utilizes defined systems for effective patient communication.
  • 18. May perform scheduling tasks, including appointment scheduling, rescheduling, cancellations, and confirmations.
  • 19. In accordance with Keck Medicine's guidelines, may engage in service recovery activities or escalate issues to a supervisor as needed.

Qualifications:

  • High school diploma or equivalent required.
  • Minimum of 2 years of experience in a customer service environment or 1 year in a healthcare setting, or a combination of both.
  • Demonstrated interpersonal skills are essential.
  • Ability to manage multiple tasks simultaneously.
  • Excellent verbal and written communication skills are required.

Preferred Qualifications:

  • Associate's or Bachelor's degree in healthcare, business, or a related field is strongly preferred.
  • Vocational training or certifications in healthcare, such as appointment scheduling, registration, or medical assisting, are preferred.
  • Knowledge of privacy compliance and various health insurance types is advantageous.
  • Familiarity with medical terminology is preferred.
  • High-level computer literacy with practice management scheduling systems is preferred.
  • Bilingual candidates, particularly in Spanish, Chinese, or other languages, are preferred.

Licenses/Certifications:

  • Fire Life Safety Training (LA City) is required within 30 days of hire if not already obtained, and must be maintained through renewal before expiration.
