Job Overview

Position: Administrative Support Specialist

Duration: 6+ Months (Potential for extension and temp to perm, depending on volume)

Shift: 8 AM to 5 PM

Location: Tempe, AZ

Role Summary

The Administrative Support Specialist is responsible for managing incoming and outgoing correspondence, including mail and packages, while executing various administrative tasks to ensure efficient office operations.

Key Responsibilities:
  • Handle all incoming and outgoing mail, including packages from various delivery services.
  • Calculate and affix appropriate postage, maintaining accurate records of postage and registered mail.
  • Digitize important documents by scanning buyer/seller packages and original paperwork.
  • Assist in financial disbursements by preparing checks and invoices, as well as packaging items for dispatch.
  • Coordinate the delivery of documents to relevant management or shredding services.
  • Monitor and manage mailroom supplies, ensuring adequate stock of essential items.
  • Perform additional administrative duties such as ordering office supplies, filing documents, and data entry.
Essential Skills:
  • Strong attention to detail and accuracy in administrative tasks.
  • Ability to prioritize and manage time effectively to meet deadlines.
  • Proficient in using multiple software applications simultaneously.
  • Capable of working independently with minimal supervision.
  • Ability to follow written instructions accurately.
Education Requirements:

High school diploma or equivalent.
