Position Overview

As a key member of our team, the Intake Coordinator plays a vital role in facilitating the client journey, ensuring a seamless transition from initial inquiry to scheduled therapy sessions.

The Intake Coordinator is tasked with connecting clients with appropriate therapy services through various communication channels. This role is essential in delivering an exceptional client experience, encompassing the entire process from inquiry and service setup to documentation completion and clinician handoff.

This position operates on a hybrid schedule, with specific hours during the week and a combination of in-office and remote work.

Key Responsibilities:

  • Assist new clients in arranging their initial appointments through phone, email, and request forms.
  • Verify insurance benefits during the intake process.
  • Ensure co-pay amounts are confirmed at the time of intake.
  • Create client portal accounts for easy access to services.
  • Provide support by answering incoming phone calls.
  • Collaborate with Practice Management and Clinical Leadership teams to optimize scheduling and resource utilization.
  • Facilitate strategic scheduling for new services as requested by the clinical team.

Qualifications:

  • Strong written and verbal communication abilities.
  • Outstanding customer service skills.
  • Bilingual proficiency in English and Spanish is mandatory.
  • Proficient computer skills.
  • Associate Degree is preferred.
  • Experience in healthcare settings is advantageous.
  • Prior intake experience is highly desirable.
  • Familiarity with medical office operations and HIPAA regulations is preferred.
