Overview

The selected candidate will provide essential administrative assistance to the Vocational Rehabilitation Transition Administration. This role involves acting as a liaison to engage with students, families, community partners, and educational personnel, representing the DVR agency while managing client information related to Transition Programs. The candidate should possess expertise in gathering, organizing, evaluating, and interpreting data and reports pertinent to Transition VR programs and services. This position requires adherence to agency and federal regulations, policies, and procedures in the management and processing of agency data.

Key Responsibilities

The key responsibilities encompass fundamental functions common to all roles within this classification and are not intended to be an exhaustive list of duties for any specific position. Implements agency regulations, policies, and procedures in the management and processing of agency information. Develops official agency documentation; maintains agency databases using software such as Access or similar applications; creates and manages spreadsheets; produces original presentations utilizing various software tools. Acts as a liaison with the public, clients, agency personnel, and others to share information and clarify agency services, regulations, and policies. Ensures effective coordination of operational activities. Establishes tracking and monitoring systems and follows up to guarantee effective resolution of issues. Gathers, organizes, and drafts technical and administrative materials necessary for public information or departmental use. Collects and compiles data to generate reports and provide supporting documentation. Evaluates routine operational practices and procedures, making recommendations to enhance office efficiency. Maintains and organizes data and/or filing systems to ensure effective, accurate, and easily retrievable documentation of operations, programs, and project activities. May oversee or guide junior staff members.

Qualifications

Requirements for Administrative Support Specialist

Candidates must demonstrate education, training, and/or experience in the following areas: At least one year of experience coordinating office activities, including planning meetings, tracking workflow, composing meeting notes, and managing client interactions. At least one year of experience in document processing, including reviewing records for completeness and compliance with regulations, resolving discrepancies, interpreting information, and monitoring activities. At least one year of experience utilizing an automated information system for data entry, updates, modifications, deletions, retrieval, and reporting. At least one year of experience with standard computer software for word processing, spreadsheets, or databases.
