Service Writer Job Summary

The primary functions of the Service Writer Position include:

  • Collecting data from customers and vehicles and accurately entering data into the business system.
  • Answering inbound calls and providing basic information on customer repair status.
  • Scheduling appointments and coordinating with Department Management, Shop Foremen, and Service Advisors.
  • Assisting with obtaining approvals and promoting the sales of labor, parts, and accessories.
  • Maintaining pertinent information on sales, specials, service coupon offers, and special rates.
  • Staying up-to-date on Service Bulletins, Campaigns, Federal Recalls, and other pertinent literature.
  • Following up with customers after repair to ensure satisfactory outcome and resolving any unhappy customer issues.
  • Completing satisfaction surveys with customers via phone and email.
  • Maintaining a calm, professional demeanor at all times and open communication with other Service Writers, Service Advisors, Shop Foremen, Service Management, parts personnel, and Technicians.
  • Attending and applying factory and formal training as required.
Service Writer Qualifications

The ideal candidate will be a determined self-starter who works well in a group or alone, with the ability to read and comprehend English instructions and information. A high school diploma or equivalent is required, along with a working knowledge of all heavy truck repair methods. The candidate must be able to identify and meet customer needs and requirements, be a hard worker, responsible, and a problem solver. Organizational and time management skills are a must, as well as exceptional phone and customer service skills. The appearance must meet the company image and requirements.

Working Conditions

This position can be physically demanding, requiring lifting up to 50 pounds, sometimes repeatedly. The Service Writer may work at a desk in an office setting, doing paperwork, filing, and key entry on a computer video monitor. Additionally, they will climb stairs, climb in and out of vehicles, stand, stoop, kneel, crouch, and reach, moving about the dealership facility to communicate with managers, employees, and customers. They will be exposed to noise, dust, exhaust fumes, and a variety of other hazardous and non-hazardous materials. The Service Writer must be able to lift up to 50 lbs. unassisted on a regular basis and will be required to wear a Dealership uniform.
