Key Responsibilities:

Administrative Duties for the Dean's Office:

  • Uphold a professional image of the medical school within the Dean's Office.
  • Ensure confidentiality regarding all Dean's Office matters.
  • Oversee inventory management for the Dean's Office.
  • Assist in the execution of projects and events.
  • Organize and coordinate meetings.
  • Participate in various committees.
  • Prepare reports and assist with budget management.
  • Manage the scheduling of conference rooms.

Direct Support to the Dean:

  • Act as a liaison between the Dean and other parties.
  • Draft and edit correspondence.
  • Oversee the Dean's calendar and travel arrangements.
  • Prepare materials for meetings.
  • Submit financial reports as required.

Employment Conditions:

  • Successful completion of a background check is required.
  • Compliance with COVID-19 vaccination policies is mandatory.

Qualifications:

  • An Associate's Degree or equivalent experience.
  • A minimum of five years' experience in an executive assistant role.
  • Demonstrated proficiency in written communication.

Skills and Abilities:

  • Strong organizational and planning capabilities.
  • Ability to anticipate needs and work autonomously.
  • Excellent communication skills.
  • Experience in event planning.
  • Proficiency in Microsoft Office applications.

Preferred Qualifications:

  • Experience working in an academic environment.

Physical Requirements and Work Environment:

The selected candidate must possess the necessary capabilities to fulfill the responsibilities of this position. The work environment is typical of an office setting with light physical demands.
