POSITION SUMMARY

Reporting directly to the Branch Manager, the Membership Services Coordinator plays a vital role in ensuring that all members and visitors comply with registration protocols daily. This position is responsible for managing the replacement of lost membership cards and the invoicing of membership fees and activity charges. The Coordinator will maintain open communication with Management, uphold consistency and accuracy in front desk operations, and meet member service expectations. Additional responsibilities include answering phone calls, taking messages, providing information to callers, tracking participation in membership programs, and maintaining organized files. The Coordinator will also provide administrative support and assist with member check-ins and Group Leader duties as necessary.

  • Availability for occasional weekends and evenings to support fundraising events, committee meetings, and activities.
  • CPR & First Aid Certification required.

Key Responsibilities

FRONT DESK MANAGEMENT

  1. Stay informed about current safety protocols.
  2. Answer the Club phone promptly and use guests' names during conversations.
  3. Manage the issuance and collection of membership forms, process membership dues, and distribute membership cards. Maintain up-to-date membership records.
  4. Utilize the Club's membership tracking system effectively to input new member applications, record daily program attendance, and generate reports.
  5. Promote BGCGSD actively; provide comprehensive information about Club packages, services, programs, promotions, discounts, facility features, and operational hours.
  6. Ensure accurate record-keeping and consistency.
  7. Conduct financial transactions, including handling, processing, and reconciling all forms of currency related to membership fees.
  8. Demonstrate productivity without constant supervision and remain at the assigned post for extended periods.
  9. Implement and uphold all Club rules and policies with members; model and encourage positive behavior.
  10. Provide timely and accurate responses to all guest inquiries, ensuring complete satisfaction.
  11. Create and maintain organized files for all membership applications; update member contact information promptly.
  12. Dress appropriately in uniform at all times.

ADMINISTRATIVE DUTIES

  1. Exhibit responsibility in managing work schedules, attending meetings, participating in training, and engaging in special programs or events.
  2. Maintain a clean, safe, well-stocked, and organized workspace; accountable for inventory and proper use of office equipment and supplies; update and manage the Club site event calendar and parent communication boards.
  3. Foster a collaborative work environment by communicating effectively and positively with Directors, Group Leaders, colleagues, and volunteers.
  4. Regularly communicate any potential issues or concerns with the Branch Manager and Leadership regarding personnel, parents, peers, partners, or Club members.
  5. Uphold confidentiality for staff and members; provide recommendations regarding member needs, program ideas, and facility requirements.
  6. Be knowledgeable about Club safety guidelines and first aid resources and procedures.
  7. Perform miscellaneous tasks as requested by the supervisor.
  8. Other duties as assigned.
