About the Role

The Air Line Pilots Association, International (ALPA), the foremost union for airline pilots globally, is seeking a Membership Administrative Analyst to join our team in McLean, Virginia. Representing over 78,000 pilots across 71 airlines in the U.S. and Canada, ALPA is dedicated to enhancing the professional lives of its members.

Key Responsibilities

As a Membership Administrative Analyst, you will:
  • Handle inquiries from pilots, elected officials, and airline representatives, ensuring timely and accurate responses.
  • Analyze data files and incoming communications to determine necessary actions.
  • Address questions related to pilot dues, insurance billing, and other membership issues within established timelines.
  • Document all correspondence related to membership inquiries in the pilot's electronic file.
  • Maintain communication with relevant parties to gather necessary information for prompt responses.
  • Track the status of inquiries and keep stakeholders informed throughout the process.
  • Update and maintain pilot demographic information accurately.
  • Prepare correspondence based on pilot interactions.

Additional Duties

You will also:
  • Manage pilot billing accounts in the Association Management System (AMS), overseeing all Accounts Receivable activities.
  • Conduct annual earnings-file verifications and reconciliations.
  • Review accounts for agency fee objectors and process periodic rebate transactions.
  • Establish a follow-up system to ensure accurate and timely processing of tasks.
  • Analyze membership and billing account records to respond to inquiries effectively.
  • Assist and support other departmental functions as needed.

Qualifications

The ideal candidate will possess:
  • A minimum of two years of college education with a focus on business administration or management, or equivalent experience.
  • At least two years of experience working with computer systems in a business setting.
  • Strong customer service experience.
  • Familiarity with AMS, particularly Aptify, is preferred.
  • Proficiency in Microsoft Excel, Access, Word, and Outlook.
  • Excellent oral and written communication skills.
  • The ability to interact professionally with various stakeholders.
  • Flexibility to work on short notice as required.
  • Strong mathematical aptitude.

Physical Requirements

This role involves:
  • Regular use of a computer and other electronic devices.
  • Maintaining a stationary position and moving about the office.
  • Occasional lifting and moving of items weighing up to 25 lbs.
