About Us

The Air Line Pilots Association, International (ALPA) is the foremost airline pilot union globally, representing over 78,000 pilots across 71 airlines in the United States and Canada. We are seeking a dedicated Membership Administrative Analyst to join our team in McLean, Virginia.

Key Responsibilities

As a Membership Administrative Analyst, you will:
  • Handle inquiries from pilots, elected officials, airline representatives, and other stakeholders.
  • Analyze incoming data and correspondence to determine appropriate actions.
  • Respond efficiently to questions regarding pilot dues, insurance billing, and membership-related issues.
  • Document all correspondence related to membership and billing inquiries in the pilot's electronic file.
  • Communicate with relevant parties to gather necessary information for timely responses.
  • Track the status of inquiries and keep stakeholders informed throughout the process.
  • Maintain accurate pilot demographic information and prepare necessary correspondence.

Billing Account Management

You will also:
  • Update and maintain pilot billing accounts in the Association Management System (AMS).
  • Oversee Accounts Receivable activities, including dues, assessments, adjustments, and reconciliations.
  • Conduct annual earnings-file verifications using payroll or tax reports.
  • Review accounts for agency fee objectors and process rebate transactions.
  • Establish a follow-up system to ensure accurate and prompt processing of work.
  • Analyze membership and billing account records to respond to inquiries effectively.
  • Ensure the accuracy of membership and billing information through routine report analysis.
  • Support other departmental functions as needed.

Qualifications

The ideal candidate will possess:
  • A minimum of two years of college education with a focus on business administration or management, or equivalent experience.
  • At least two years of experience working with computer systems in a business context.
  • Experience in customer or member service roles.
  • Familiarity with AMS, particularly Aptify, is preferred.
  • Proficiency in Microsoft Excel, Access, Word, and Outlook.
  • Strong interpersonal and communication skills, both verbal and written.
  • The ability to interact professionally with diverse contacts.
  • Flexibility to work on short notice as required.
  • Solid mathematical aptitude.

Physical Requirements

To perform the essential functions of this position, the candidate must:
  • Operate a computer and other devices regularly.
  • Maintain a stationary position and move about the office as needed.
  • Engage in conversations and exchange accurate information.
  • Occasionally lift and move items weighing up to 25 lbs.
