Executive Assistant Opportunity at Fresh Tape Media LLC

Fresh Tape Media LLC is seeking a highly skilled and organized Executive Assistant to provide exceptional support to our Executive Leadership team. As a key member of our team, you will play a vital role in ensuring the smooth operation of our business.

Key Responsibilities:
  • Manage the CEO's and General Manager's schedules, ensuring seamless coordination of appointments and commitments.
  • Create detailed travel itineraries, including flights, accommodations, and meetings.
  • Assist with daily tasks and office needs, both in-person and remotely.
  • Provide comprehensive personal and business support to the CEO and GM, as needed.
  • Schedule and coordinate calls and meetings for both the CEO and GM.
  • Keep the team updated on the CEO and GM's schedules to ensure smooth workflow.
  • Assist with any personal tasks for the CEO and GM as required.
  • Greet and welcome guests, directing them to the appropriate contacts.
  • Schedule and coordinate vendors for office-related services.
  • File receipts, manage expense reports, and assist with budgeting.
  • Maintain office supplies, anticipate needs, and ensure timely replenishment.
  • Transcribe calls and meetings for the CEO and GM.
  • Perform other ad hoc tasks as they arise during business operations.
Qualifications:
  • Proven experience as an Executive or Personal Assistant.
  • Exceptional organizational skills with keen attention to detail.
  • Ability to multitask and manage competing priorities effectively.
  • Excellent verbal and written communication skills.
  • Proactive mindset with strong prioritization capabilities.
  • Strong writing and editing abilities.
  • Solid understanding of office procedures and protocols.
  • Proficient in Google Calendar, Gmail, and Microsoft Office or Google Sheets.
  • Experience handling sensitive client information with discretion and confidentiality.
  • Excellent research and information-gathering skills.
  • Strong memory retention and ability to recall details.
  • Strong analytical, reasoning, and math skills.
  • Excellent time management and ability to meet deadlines.
  • Confident presentation skills.
  • Professional, articulate, and well-spoken.
  • Friendly, approachable personality with excellent interpersonal skills.
  • Valid drivers license with a clean driving record.
  • Reliable access to a vehicle on a daily basis.
  • High emotional intelligence and strong social awareness.
  • Creative skills (video editing, design, etc) a plus but not required.
