Meeting Support Specialist

The Conference Services Concierge will provide exceptional support to the Conference Planning Management Team, ensuring seamless execution of events and conferences. This role requires a high level of organization, attention to detail, and excellent communication skills.
Key Responsibilities- Fulfill guest needs by providing administrative support, including copying, typing, and creating signs and nametags.
- Support Conference Planners by creating agreements, forms, and files, and generating weekly distribution cover pages and reports.
- Prepare daily schedules, cross-reference rosters and rooming lists, and process payments for meals and events.
- Maintain existing filing systems, answer phones, and provide information to guests and colleagues.
- Handle internal and external events efficiently, maximizing revenue generation while meeting client needs.
- Schedule and plan internal events, correspond with customers, and provide confirmations of countersigned BEOs.
- Maintain Micros processes, distribute communication documents, and assist with mailing correspondence.
- Handle correspondence, signage, and post-con surveys for the Planning Team.
- Take requests from clients for add-on meetings and office space, create bookings, and maintain space holds.
- Maintain Receipt Records and Group files, and create and update STOs associated with Support Desk functions.
- Responsible for inventory and office supplies, and provide excellent customer service.
- Assist the Director of Conference Planning and Conference Planning Managers with special projects.
- At least two years of experience in Meeting/Conference Support or an Administrative position.
- Positive attitude towards guests, customers, clients, and colleagues.
- Experience and working knowledge of computer operations and basic knowledge of Delphi, Opera, and Microsoft Suite products.
- Ability to follow policies and procedures accurately, maintain confidentiality, and have a professional appearance and manner.
- Excellent communication and writing skills, with the ability to communicate effectively across all levels of the organization.
- Excellent customer service experience and skills, with attention to detail and follow-up skills.
- Ability to manage time efficiently, multitask, and prioritize.
